1.1 Who can enter

No account is needed. Entries are made through the registration form on the event page. The person submitting the form must be 18 or over and must have permission to enter every player they list. Junior players are entered by a parent, guardian, teacher or club official who confirms they may share that child’s details with the organiser.

1.2 How an entry is made

Open the event, choose a team entry or an individual or doubles entry, complete each step of the form and confirm the PDPA consent. Your entry reference, in the format TMY-260916-4821, is shown on screen the moment you submit — keep it; the technical committee quotes it on every list. The place is held once the entry fee is paid (section 2).

1.3 Getting the details right

You are responsible for providing accurate and complete information. Names, IC numbers, dates of birth and contact numbers must match the documents a player will carry on match day. We are not liable for errors made in the entry, including misspellings or incorrect personal details, but an entry with a mistake can be corrected through the organiser (section 3.2). Give a mobile number that will be answered at the venue, because that is the number the organiser uses when a fixture moves.

1.4 Closing dates and capacity

Entries close on the date shown on the event page, or earlier when every slot is taken. The places remaining counter on the event page is live. An entry that has been started but not paid holds its place for 48 hours; after that it expires and the slot is released to the next entrant. Late entries are at the organiser’s discretion and only where a slot remains.

1.5 One entry, one entrant

An entry is for the team or player named on it and may not be resold or transferred to another team or player for a fee. A team that changes manager should tell the organiser so contact details can be updated. We may cancel an entry where we suspect fraud or a breach of these terms.

Entry fees are shown in Ringgit Malaysia on every event page, per team or per player as listed. The fee covers the entry itself; travel, accommodation, kit and meals are yours. An organiser may change a fee before entries open, but the fee shown at checkout is the fee you pay.

2.1 Paying

Fees are paid in full at the time of entry through Billplz, Tournamy’s payment provider, using the methods shown at checkout: FPX online banking, credit and debit cards, and the major Malaysian e-wallets. By completing checkout you authorise the charge for the full amount shown. Billplz confirms the payment to Tournamy directly; your entry is marked paid automatically and Billplz emails a receipt to the payer. Tournamy never sees or stores your card or banking details.

2.2 All entries are final

Once an entry is paid it is confirmed and, except as set out in 2.3 and 2.4, it is non-refundable and non-transferable. If you need to change something about a confirmed entry — a category, a roster, a contact — speak to the organiser (or to us at info@tournamy.com or 017-975 4073) and quote your entry reference.

2.3 If the event is cancelled

If an event is cancelled by the organiser, you receive a full refund of the entry fee. Refunds are arranged by the organiser, or by Tournamy for the events we organise ourselves, and are paid back to the original payer — please allow a number of working days for the money to arrive. The website has no automated refund button: a refund is always agreed with a person, so keep the entry reference handy.

2.4 If the event is rescheduled

If an event is moved to new dates, your entry remains valid for the new dates at no extra cost. If your team cannot make the new dates, tell the organiser within seven days of the announcement and a refund under 2.3 applies. Refunds are not available for other reasons unless the event page specifically says so.

3.1 Squad size

Every team event sets its own minimum and maximum squad, shown on the event page and enforced by the form. The roster will not submit outside that range or with two players on the same jersey number, and only players on the submitted roster may take the field.

3.2 Changing a roster

Roster changes after submission go through the organiser: send the change and your entry reference to the contact on the event page, or to Tournamy, and the organiser updates the record. Each event sets its own roster deadline; after it, changes need the organiser’s approval and injury replacements are at the technical delegate’s discretion under the competition rules.

3.3 Age groups

Eligibility for age categories such as Under 12 is judged on the player’s date of birth as set out in the competition rules for that event. IC numbers are collected so the organiser can verify age; bring an identification card or birth certificate to the registration desk. A player who cannot prove age on the day may be held out of that match.

3.4 One squad per category

A player may appear on one squad only within the same category of the same event, unless the competition rules allow a stated overlap. Fielding an unregistered, suspended or ineligible player is treated as the competition rules direct — usually a forfeit of that match.

3.5 Team officials

Name one manager as the single point of contact for the event. That person receives fixture changes and any disciplinary notice, and speaks for the team at the technical meeting.

Sport moves. The organiser may change kick-off times, pitch or court allocation, group composition, match length or the format of the knockout stage to fit the number of entries, the venue hours or the weather. Tournamy is not responsible for changes an organiser makes to their event.

4.1 How you are told

Changes are published on the event page and its schedule the moment the organiser’s desk saves them, so the version on this website is always the current one. For material changes the organiser contacts the manager on the entry, and on match day calls the number on the entry.

4.2 Weather and safety

Play may be suspended, shortened or moved for lightning, heavy rain, poor light or an unsafe surface. That decision belongs to the match officials and the technical delegate at the venue. Where a suspended match cannot be completed, the competition rules decide whether the score stands, the match is replayed or the result is taken from the group table.

4.3 Events outside anyone’s control

Neither Tournamy nor the organiser is liable for a failure to perform caused by something genuinely beyond reasonable control — severe weather, flooding, fire, power or network failure at the venue, strikes, public health restrictions or an instruction from an authority. In those cases we work with the organiser to reschedule first (section 2.4) and refund second (section 2.3).

Community sport works because people behave well at it. Players, officials, parents and supporters attached to an entry are expected to respect the match officials, the opposition, the venue staff and each other.

5.1 On the field and at the venue

The referee’s or umpire’s decision on a point of play is final. Abuse, threats, discrimination or harassment of any kind ends a participant’s day and may end their event. Follow the venue’s own rules; damage to venue property is charged to the team or individual responsible. Children stay under the supervision of their team or family at all times.

5.2 Sanctions and protests

The organiser may issue a warning, suspend a player for one or more matches, or remove a team from the competition without refund. Protests about a result or an eligibility question are handled under the competition rules by the organiser’s technical committee, whose ruling closes the matter for that event.

5.3 Using this website

Use Tournamy for its purpose. Do not use the site for any unlawful activity, transmit harmful code, scrape or hammer it with automated requests, resell the score feed, or try to reach the organiser console or another person’s entry. Organiser logins are personal to the technical team they are issued to; the holder is responsible for what is published under them.

6.1 The public record

Team names, player names as printed on team sheets, jersey numbers, results, standings and champions are published as the public record of the competition and stay in the archive after the event closes. IC numbers, dates of birth and contact details are never published.

6.2 Photographs and video

Tournamy events are public occasions. By entering, you agree that the organiser and Tournamy may use photographs and video of participants for match reports, the event gallery, social media and future promotion of the event, without a fee. If you would rather a participant, or a child in your care, did not appear in identifiable images, email info@tournamy.com before the event and we will flag it to the organiser. If something is already published, tell us and we take it down from our own channels; we cannot recall material already shared by a third party.

7.1 Taking part

Competitive sport carries risk. Participants take part at their own risk and are responsible for being fit to play. Tournamy is not responsible for losses, damages or injuries arising from attending or playing in an event, including venue-related accidents, travel delays or missed matches. The organiser is responsible for the venue, officials and safety arrangements, and for any insurance a sanctioning body requires.

7.2 What Tournamy is responsible for

We are the platform. We are responsible for the listing, the entry system, the checkout, and for publishing what the organiser’s desk enters. Live scores are published by the organiser’s technical team as quickly as they can; a published score may be corrected, and the corrected version is the record. Where the law allows, our total liability to you in connection with an entry is limited to the entry fee paid for it, and we are not liable for indirect or consequential loss.

7.3 Availability

We aim to keep the site and the scoring desk running through every match day, but we cannot promise the internet. If the site is unavailable, the organiser keeps the record on paper and publishes it when service returns.

8.1 Changes to these terms

We update this page when the way we run entries changes. The version number and dates at the top move when we do, and the terms in force when you entered continue to apply to that entry. Continued use of the site after a change means you accept the updated terms.

8.2 Personal data

Personal details collected through an entry are handled under our privacy policy and the Personal Data Protection Act 2010.

8.3 Governing law

These terms are governed by the laws of Malaysia, and any dispute arising from them is subject to the exclusive jurisdiction of the Malaysian courts.
